Purpose of this document


This outlines the framework for our services at Root and Leaf Nutrition.

Your nutritional therapist is happy to go through it with you in the first session, if you need anything clarified.


You will discuss and agree what support you want from your consultant in your first session, and review the progress and focus of your work together as you go along.

It is confidential that you are a client of Root and Leaf Nutrition, as well as what you discuss in your sessions. There are however, some limits and exceptions to confidentiality.

If your consultant has serious concerns about your safety or the safety of another person normal confidentiality may be lifted. You will be asked to provide your GP’s contact details, as someone they may contact.

Root and Leaf Nutrition keeps a record of your name, contact details and dates and times of appointments on a password-protected database. Your consultant is required to keep brief notes about the focus of your work. These are kept securely and are password protected. Any reports produced by Root and Leaf Nutrition to evaluate the service contain anonymised data and will not contain any identifying information of clients.

Root and Leaf Nutrition would like to contact you occasionally by email with promotional offers, information on upcoming events and activities, and newsletters. You can withdraw your consent to the above communications at any time by clicking on the unsubscribe link at the bottom of the emails.


Response time to Emails and Messages

Based on the type of support you have signed up for (unlimited or weekly), your nutritional therapist will endeavour to respond to your communications within 24 hours (Monday to Friday). Weekend and Holiday response time may vary at the discretion of the Nutritional Therapist.


Consultation notes and recordings

Consultation notes are typically sent within 5 working days of the consultation, which will contain a summary of the agreed decisions and your health optimisation plan.

When possible, consultations will be recorded and the audio file can be sent to you straight after the consultation as well as the most important handouts or resources to refer to.

Clients are encouraged to take their own notes during the consultation in order to start implementing the agreed recommendations sooner or prior to receiving your consultation notes.


Problems & Complaints

If you are having a problem with your nutritional therapist, or the service, please feel free to direct it to your nutritional therapist directly to agree on a resolution together.


Commissions on Supplements and Testing

On some occasions, Root and Leaf Nutrition may receive a small commission from supplement companies and testing laboratories. These are used to cover the time to research and review the test results within the context of the nutritional program. However, recommendations are made based on the client's needs and will be agreed with the client.

Root and Leaf Nutrition will endeavour to pass on any promotions or discounts from supplement companies and laboratories as seen fit.

The nutritional therapist will only recommend products or services that will be the most appropriate for the client, based on the nutritional therapist's professional judgement.


Supplements use and duration

Supplements should be taken under the guidance of a doctor or nutritional therapist. Taking different supplements together could result in too high doses of common ingredients.

Anyone taking prescription medication should inform their GP before taking supplements of any kind.

Supplements should be reviewed every 3 months. Clients are discouraged to take the same supplements long term without the advice of a nutritional therapist or a doctor.


Cancellations and Refunds

A program package with Root and Leaf Nutrition will set out the number of consultations included in a package, to be booked by the client in agreement with the Nutritional Therapist.

Cancellations of booked consultations are generally accepted within a 24 hour window. Any cancellation sent with less than 24 hours notice will result in that session being forfeited with no compensation, at the discretion of the Nutritional Therapist.

A number of cancellations due to unforeseen circumstances (such as emergency or sickness) will be included in your Program outline email sent to you.

Equally, if the Nutritional Therapist needs to cancel, Root and Leaf Nutrition will ensure that an alternative session can be rescheduled to make up for the inconvenience

If for serious medical reasons, part of the package programs will need to be cancelled earlier by the client, Root and Leaf Nutrition will endeavour to refund as many of the pre-booked consultations on a pro-rata basis.

The holding deposit on the package is non refundable, as this typically covers preparation time for the first consultation and admin costs. Once the first consultation has taken place, the first instalment of the program payment plan is also not refundable.

Refunds on tests ordered on behalf of the the client will be processed as soon as the laboratory company refunds Root and Leaf Nutrition. The amount refunded to the client will not include any potential commission earned by Root and Leaf Nutrition, to cover for the admin time around the processing of the refund.
